Article I-Name: The name of the organization is Panhandle Pin Seekers Senior Golf Association,hereinafter referred to as Pin Seekers.
Article II-Purpose: Pin Seekers is a not-for-profit organization devoted to promoting the values, fair play and fellowship of the game of golf. All Pin Seekers related information will be placed on the Pin Seekers Web site.
Article III-Membership:
a. Membership Eligibility:Membership is open to golfers 50 years of age and over.
(1) Membership Limit: Pin Seekers active membership is 180.
(2) Membership Application:To become a member, individuals will either fill out the Membership Application Form on the Pin Seekers Web Site at http://nwfl-pinseekers.org/ or contact the Secretary for a hard copy Membership Application.
b. Membership Initiation Fee and Annual Dues:
(1) New members will pay a one-time initiation fee to be determined by the Executive Committee.
(2) Membership annual dues will be established by the Executive Committee and are due no later than January 1 of each year.
(3) The Secretary will start collecting dues in October. All members not renewing their membership or paying dues by January 1 will be dropped from the Pin Seekers roster.
(4) Members dropped due to non-payment of dues may rejoin by contacting the Secretary and paying their dues.
(5) New Members joining after September 30th will have their annual dues applied to the following calendar year.
c. Membership Dismissal or Disqualification:
Failure to adhere to USGA and/or Pin Seekers rules can lead to disqualification from a tournament or dismissal from Pin Seekers. All cases will be referred to the Executive Committee for resolution.
Article IV-Officers
a. Elected officers of Pin Seekers will be:
President
Vice President
Organization Coordinator
Tournament Director
Treasurer
Secretary
b.The terms of each elected officer will be January 1 through December 31 of the year for which they were elected. Appointed officers’ terms of office will be until December 31 of the year appointed.
c. The elected Officers or appointed replacements will constitute the Executive Committee and will have the authority to act for Pin Seekers in accordance with this Constitution.
d. The Executive Committee will have the power to fill any vacancy on the Executive Committee that occurs during the year. The appointment will expire on December 31 of the year appointed.
Article V -Duties of Officers
a.President
(1) Preside over all Pin Seekers tournaments.
(2) Call and preside over Executive Committee meetings as required.
(3) Negotiate tournament contracts with the golf courses and establish the Pin Seekers yearly golf schedule.
(4) When inclement weather threatens a Pin Seekers tournament, negotiate with the golf course(s) to cancel tournaments no later than 6pm on the day before the tournament if possible.
(5) When conditions require a decision to cancel a tournament on the day of the tournament, consult with the members of the Executive Committee and the golf course and make the decision.
(6) When any tournament is cancelled, negotiate with the golf course and try to reschedule the tournament later in the year.
(7)Appoint members at large, preferably members with past Executive Committee experience, to serve on committees.
(8) Ensure the Treasurer's books are audited, by a Certified Public Accountant if possible,during the last week of March, June, September and December.
(9) In the absence of the Vice President, perform his duties.
b. Vice President
(1) Ensure that the Closest-to-the-Pin tee and greens markers are prepared, placed on the four par-three holes and are retrieved after each tournament.
(2) Upon the resignation of or removal of the President, assume the duties of the office for the remainder of the term.
(3) In the absence of the President, perform all duties of that office.
(4) Perform other duties as assigned.
c. Organization Coordinator
(1) Maintain and update the Pin Seekers Master Data Base Files containing a listing of all members, their addresses, telephone numbers, handicaps, flight assignments and hole-assignments.
(2) Maintain the Standby List for each tournament.
(3) Call members from the Standby List, in the order in which they have signed up, to replace cancelled players and/or to complete the Play List.
(4) Prepare the Play List, scorecards and supporting documents for each tournament.
(5) Ensure that the maximum number of players on the Play List does not exceed the contracted number for the tournament.
(6) Provide tournament Play List updates to the Tournament Director no later than
the day before each scheduled tournament.
(7) Assist the Tournament Director as needed and perform the duties of the Tournament Director in his absence.
(8) Perform the duties of the Treasurer in his absence.
(9) Perform other duties as assigned.
d. Treasurer
(1) Maintain the Treasurer’s books.
(2) Keep a full accounting of all moneys received and disburse funds as directed by the Executive Committee.
(3) Provide a statement of the Pin Seekers financial position at Executive Committee meetings and make it available to the membership upon request.
(4) Collect member’s tournament fees at each tournament.
(5) Collect initiation fees and annual dues for new members from the Secretary.
(6) As required, record and furnish each golf course with a list of the gift certificate/gift card requirements for each tournament.
(7) Provide the Tournament Director with the gift certificates/gift cards to be distributed at the close of each tournament.
(8) Perform other duties as assigned.
e. Secretary
(1) Keep records of all Pin Seekers and Executive Committee meetings and prepare all Pin Seekers correspondence.
(2) Enroll new Pin Seekers members and provide them with an orientation.
(3) Collect annual dues and Christmas Party fees from all Pin Seekers members.
(4) Perform other duties as assigned.
f. Tournament Director
(1) Assist the Organization Coordinator as necessary in maintaining the Pin Seekers database, keeping members’ handicaps current and in preparing the scorecards for every member playing in each tournament.
(2) Prepare the final hole-assignments changes for all players scheduled to play in each tournament.
(3) In the absence of the Organization Coordinator, perform his duties.
(4) In the absence of the President:
(a) Negotiate with the golf course(s) to cancel Pin Seekers tournaments threatened by inclement weather no later than 6pm on the day before the tournament.
(b) When a Pin Seekers tournament is cancelled, negotiate with the golf course to reschedule the tournament.
(5) Perform other duties as assigned.Article VI –Nominations, Election and Terms of Office
Article VI – Nominations, Election and Terms of Office
a. Annual election of Pin Seekers Officers will be held at the last tournament in October each year.
b. The President will appoint a Nominating Committee and identify the Chairman at least 30 days prior to the election.
c. The Nominating Committee will consist of the Chairman, two members from the Executive Committee and two members of the Pin Seekers at large. The Chairman will notify the President of the recommended slate of candidates at the last tournament in September of the year.
d. The slate of nominee will be announced to the membership and voted on at the last tournament in October. Additional nominees will be accepted from the membership on the day of the election. The majority of the Pin Seekers membership present and voting determine the officers for the following year.
e. The newly elected slate of officers will assist the incumbent officers in performing their duties and assume their elected positions on January 1 of the following year.
Article VII - Amendments
a. The Constitution may be amended by a vote of the Pin Seekers membership. Proposed changes may originate from the Executive Committee or the membership at large with the signature of two or more active members of Pin Seekers. The member’s proposed change will be submitted in writing to the Secretary for presentation to the Executive Committee. If approved by the Executive Committee, the proposed changes will be posted on the Pin Seekers Web site for review and voted on at the next Pin Seekers tournament. A two-third affirmatives vote of all Pin Seekers member present and voting is required to change the Constitution.
b. The Tournament Rules may be amended by a majority vote of the Executive Committee.
